Privacy policy

ScoutSphere is operated by the Sri Lanka Scout Association International Division. This policy describes how we process personal data for international scouting operations.

Data we collect

• Identity and contact details (name, email, district, scout group)
• Passport biodata and document images for eligibility verification (processed using Google Gemini Vision when you upload a scan, with optional local OCR fallback)
• Application answers, medical declarations, and parent consent records
• Payment references and finance verification metadata (not card numbers)
• Operational logs for security, audit, and service delivery

Your rights

You may request access to your profile and application data from your account area. For corrections to locked passport fields, use the Request Correction workflow. Contact the International Division data protection contact published on the official SLSA website for formal requests.

Retention

Active participant records are retained for ongoing international programmes. Rejected applications and audit logs follow division retention schedules configured for national compliance.
